CorTech is seeking to hire a Administrative Assistant II for our client in Lancaster, NY!

Job Summary: Serves a supportive role in the office to perform various clerical duties in accordance with established policies and procedures.

Duties: Operates PC with business software programs to input, maintain, retrieve and process business information. May process routine inquiries and provide information related to company policies and procedures. Responsibilities may include the preparation of reports, the assembly and validation of information, and the calculation of data. Maintains office filing system. Prepares letters and other business documents. May perform various complex clerical duties requiring analysis, judgment and specific knowledge in an area (customer service, purchasing, logistics, quality, human resources, etc.).

Experience: 2-4 years

? Requires knowledge and experience in own discipline; still acquiring higher level knowledge and skills
? Builds knowledge of the organization, processes and customers
? Solves a range of straightforward problems
? Analyzes possible solutions using standard procedures
? Receives a moderate level of guidance and direction

Education: Bachelor?s Degree (BA/BS); or equivalent combination of education and experience.

General Statement:
Assists and relieves Director of Certification and other company personnel of
Administrative work by performing the following duties.
FAA:
Coordinate and oversee certification activities related to FAA approvals
database, minor and major change submissions of approved data, PMA
license submissions for OEM parts and support for new certification
projects.
ITAR Compliance:
Export Transactions: Perform denied party screenings, prepare checklists
and release orders for all export requirements including service department
as well as for new customers and various visitors. Work with Empowered
Official EO as required to support ITAR compliance.
C. Duties & Responsibilities:
Duties and responsibilities may be added, deleted, or changed at any time at the
discretion of management, formally or informally, either verbally or in writing.
FAA:
Prepare OEM LOA requests for PMA support Licensing Agreements
(complexity / time involved varies depending on the number of parts)
Prepare PMA application data package in FAA required format which
includes:
Add new configurations and update FAA approval information to database
for PMA and TSO approved products.
Prepare drawing change documents describing the change based on
information contained in the EO.
Prepare and submit various drawing packages to the FAA as required.
Update database with drawing revision information. Required system to
track drawing revision information currently on file with the FAA in
support of each approval. Database is part of our approved quality system
and is audited as part of our ACEP audits conducted by the FAA.
Distribution and communication internally of FAA acknowledgements.
ITAR Compliance:
Create record for all license and exemption export transactions (Sales /
Service)
Update transaction ID list used to record specific information associated
with each export transaction and for use in preparing future license
applications.
Review Customer PO and EUS. Communicate any required changes to
the PO and/or EUS to the CSR.
Prepare license applications and sumit applications, track status and
download approved licenses through DDTC secured website.
Notify CSR when license has been submitted.
Lodge approved licenses with the Port of Buffalo.
Prepare shipping instructions for AES filing and destination control labels
for export documents.
Release order when ready to ship and forward shipping instructions and
destination control labels to appropriate shipping location for export of the
product.
Review shipping documents for AES filing accuracy. Erros must be
corrected within a specific timeframe to avoid filing a voluntary disclosure
with the State Department.
