Weekly Pay! $45.00/Hour Shift Details: 1st shift Day starts at: 9:00AM Day Ends at: 5:00PM DESCRIPTION: Position context: Acts as a single point of contact for customer or company to facilitate entry of customer documentation requests. Acts as a single point of contact for customer or company to facilitate entry of customer quality complaints. Provides technical documentation support for customers in an efficient and timely manner for standard quality documents. Excellent analytical and quantitative skills. Must assure that deadlines are met. Interfaces with a variety of management levels on significant matters, often requiring the coordination of activity across organizational units. Use of document management systems and databases (i.e., Matterhorn, global product documentation database, CRM, Adobe Professional, Genesis, SharePoint, PIMs, etc.). Key areas of accountability or responsibility: Demonstrates a high level of product form and application knowledge needed to gather information from appropriate sources and enter into CRM and provide responses to the customer in a timely manner. Builds relationships with external customers through direct communication in order to understand business needs and deliver industry standard driven documentation requirements in a timely fashion. Communicates directly with the customer, reasonable timelines for completion of complicated documentation requests based on Quality feedback, balancing workload vs. customer project requirements. Conducts training to both internal and external customers to facilitate the discovery and retrieval of standard product documentation via Client intranet and internet pathways. Collaborates when needed with the Account Management, Technical Marketing and Sales teams to garner and encourages customers to register and use the web-based tools for their basic standard documentation needs. Implement and drive process improvements, be a Change Champion. Development of standards and templates for routine reports. Ability to multi-task and work in a fast-paced environment. Skill in prioritizing tasks required, and work with deadlines. Acts is such a way that safety awareness & accident prevention are considered in performing all tasks. Expected to be aware of and follow all Client Life Saving rules. Shows commitment & leadership by working to Quality and SHE standards and encourages fellow colleagues to work to the same standards. Ensures that all required training is complete. Drive Change. Projects or special assignments: Be Subject Matter Expert on CRM Tool. Participate and contribute on Product Documentation Projects as needed. Implement or train internal staff and customers on CRM tools which support In order to ensure continuity of business, Documentation Coordinator will need working knowledge of several processes and systems (delivery certificates, registration certificates, product info base etc?). The Documentation Coordinator will handle a multitude of internal and external requests, many with high level of urgency and short deadlines supporting multinational corporations. Experience in Quality or Technical a plus. Demonstrated skills in organization, strong attention to details, prioritizing and managing time, and ability to multi-task and varying priorities in order to meet critical deadlines. Be Subject Matter Expert on CRM (Customer Relationship Management) tool for handling customer inquiries and registration of requests and complaints. Drive continuous improvement in business processes or methodology or solutions. Develop and document best practices and operational procedures. Recommend method and procedural changes. Metrics generation, liaison with internal customers to determine key performance and compliance indicators. Strong ability to analyze reports and data. Must be able to make in-person presentations to large groups as part of system ?roll outs?, application training and metrics updates. Knowledge and educational level: Minimum Bachelors? Degree required (IT or Scientific preferred). Basic working knowledge of regulations and requirements; and basic understanding of worldwide regulatory or quality requirements. Good understanding of conceptual and analytical thinking. Excellent analytical and quantitative skills. Ability to compile data and summarize results. Ability to identify root cause and solve problems. Proficient use of technology including MS Office skills (Outlook, Word, Excel, PowerPoint, MS project and internet resources is expected). Strong systems and knowledge of various databases (i.e., Matterhorn, global product documentation database, CRM, Adobe Professional, Genesis, SharePoint, etc.). Working knowledge of business processes, system development and process improvements. Developing and maintaining constructive and cooperative working relationships with other?s and sustaining them over time. |
