Weekly Pay! 3 Month Contract Pay Rate - $27/hr 1st Shift: Monday-Friday, 8am-5pm Job Description Performs diversified clerical duties for executives, management and staff within the Case Management offices while maintaining a professional environment. To assist the Vice President of Case Management and Performance Improvement as needed and backup the Administrative Assistants for Performance Improvement. DUTIES include but are not limited to: Outlook calendar management for the Vice President and Assistant Vice Presidents for Case Management and backup PI Admin Assistants Greeting guests Answering phones Assist making travel arrangements through Concur for VP and AVPs Complete expense reports through Concur for VP and AVPs Planning and scheduling meetings Consolidating status reports Provide administrative support to the department including document preparation and record management Coordinates communication flow within the team and the department via telephone, email and intranet Maintains supplies and equipment to meet team needs Organize and coordinate small and large meetings with various degree of complexity (outside location, travel, food, WebEx and logistics) Ability to manage multiple projects with multiple owners at one time KNOWLEDGE, SKILLS & ABILITIES: Adaptability ? Communication - communicates clearly and concisely, verbally and in writing Customer orientation - establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations Interpersonal skills - able to work effectively with other employees and external parties PC skills - demonstrates proficiency in Microsoft Office applications and others as required Policies & Procedures - demonstrates knowledge and understanding of organizational policies, procedures and systems Basic skills - able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately Required Skills Supporting 3-4 Group Vice Presidents Calendar management with Outlook Travel management with Concur Expense management with Concur Meeting coordination and ordering/maintaining supplies EDUCATION: High School Graduate required Associates or Bachelor degree in business administration is preferred QUALIFICATIONS: Five (5) plus years of administrative experience required Prior experience with executive level support Knowledge of general management principals Ability to handle confidential information appropriately Proficient at Microsoft Word, Excel, Outlook and Power Point Microsoft Project and Access a plus High degree of flexibility required Good interpersonal skills Good organizational skills Displays extraordinary customer service skills in person, telephone and written communications Ability to multi-task and work independently with minimum supervision Detail oriented Proven ability to work in a fast paced, high stress environment is essential Ability to effectively communicate CERTIFICATE/LICENSE: Certified Administrative Professional (CAP) designation through the International Association of Administrative Professionals is preferred |
