Description

Core Responsibilities-
Prepare and manage highly confidential and sensitive documents, ensuring strict adherence to confidentiality standards across all Law Department activities.
Develop, maintain, and organize legal files, including the retrieval, indexing, and digitization of documents within office imaging systems and electronic databases.
Compile, organize, and manage documentation for litigation, regulatory matters, and other legal proceedings, including responses to discovery requests and governmental inquiries.
Perform quality assurance reviews to validate the accuracy and completeness of documents processed through scanning and imaging systems.
Analyze and assess incoming legal documentation to ensure proper classification, processing, and routing in accordance with established protocols.
Verify and maintain accurate data entry related to motions, court appearances, and other legal records.
Coordinate and manage scheduling of meetings using Outlook, Microsoft Teams, the Manhattan Space Scheduling System, and other platforms.
Facilitate in-person and hybrid meetings, including coordinating logistics, greeting and escorting guests, and arranging conference room setup and catering services.
Execute electronic filing of pleadings in Supreme Court and other applicable jurisdictions in compliance with court requirements.
Serve as a professional point of contact for internal stakeholders, clients, and external partners.
Conduct legal and administrative research as required.
Provide comprehensive administrative and legal support as directed by senior leadership within the Law Department.
Preferred Education and Experience
Bachelor?s Degree in Legal or Paralegal Studies with a minimum of 2 years of relevant experience; OR
Associate?s Degree in Legal or Paralegal Studies with a minimum of 4 years of relevant experience; OR
High School Diploma or GED with a minimum of 6 years of relevant experience as a legal assistant or legal secretary.

Qualifications and Competencies-
Demonstrated ability to work independently and collaboratively within a team-oriented environment.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), including the ability to develop presentations, reports, charts, and data analyses.
Strong analytical and organizational skills, with exceptional attention to detail and the ability to manage multiple priorities in a deadline-driven environment.
Excellent written and verbal communication skills, with the ability to engage professionally and effectively with stakeholders at all levels.
Proven time management skills, sound judgment, and a proactive approach to task execution and problem-solving.
Strong interpersonal skills with a demonstrated ability to build effective working relationships across the organization.
High degree of flexibility and adaptability, with the ability to respond to changing priorities and work extended hours as business needs require.
